Privacy Policy

Effective Date: July 31, 2026

OrgIntel360 ("we," "us," or "our") respects your privacy. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have — for our website and platform (together, the "Service").

Information We Collect

When you create an account (via email one-time code or Google/Microsoft sign-in, powered by our authentication provider, Clerk):

  • Full name and work email address.
  • If applicable: your role, organisation name, organisation website, and team size, collected during onboarding.
  • Authentication data managed by Clerk (session tokens, sign-in method) — we never see or store your password.

Consent records: When you accept our Terms of Service/Privacy Policy, or opt in to marketing emails or organisation name/logo showcase permission, we store the choice, the date/time, and the policy version you agreed to — each tracked separately so you can see exactly what you agreed to and when.

Automatically, as you use the Service:

  • Standard log data (IP address, browser type, device information, pages viewed, timestamps).
  • With your consent only, analytics data via PostHog, Microsoft Clarity, and Firebase Analytics (see "Cookies & Analytics" below).

When you contact us or subscribe: name, email, and message content submitted via our contact form, audit-request forms, or newsletter sign-up.

When you use the platform to research organisations: the companies, domains, and public-source security signals you search or view are processed to power your dashboard; this data concerns organisations, not individuals, except where a signal (e.g. a publicly listed employee contact) is itself already public.

Why We Use Your Information

  • Create and secure your account, and authenticate you on each visit.
  • Operate the Service: show your dashboard, unlock/report features, and save your preferences.
  • Match your work email domain to your organisation's website so we can label it "Verified Work Email" / "Domain Matched" in your profile — this only confirms the two domains correspond; it does not verify your employment, job title, or authority to act on behalf of the organisation.
  • Send you account, security, and (only if you've opted in) marketing communications.
  • Understand aggregate usage so we can improve the Service, but only once you've consented to analytics cookies.
  • Detect abuse, enforce our Terms of Service, and meet legal obligations.

We do not sell your personal information.

Cookies & Analytics

We keep cookie use minimal. Full details, including exactly which cookies we use, are in our Cookie Policy. In short:

  • Strictly necessary: authentication/session cookies set by Clerk, and sa360_analytics_consent, which remembers your cookie choice.
  • Analytics (optional): PostHog, Microsoft Clarity, and Firebase Analytics are only loaded if you accept analytics cookies via our cookie banner or "Manage Preferences," or by opting in from Dashboard → Settings.
  • Interface preferences (e.g. whether your sidebar is expanded) are stored in your browser's local storage, not in a cookie, and never sent to our servers.

You can accept all cookies, reject non-essential cookies, or manage preferences at any time.

How We Share Information

We share personal information only with:

  • Service providers who help us run the Service — our authentication provider (Clerk), database/hosting infrastructure, email delivery provider, and (only with consent) the analytics providers listed above.
  • Legal & safety reasons — when required by law, legal process, or to protect the rights, property, or safety of OrgIntel360, our users, or others.
  • Business transfers — if we're involved in a merger, acquisition, or asset sale, in which case we'll notify you.

We do not share your personal information with third parties for their own marketing purposes.

Data Retention & Security

We keep personal information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. We use industry-standard technical and organisational safeguards (encryption in transit, access controls, and a security-hardened authentication provider) to protect your information, though no system is 100% secure.

Your Rights & Choices

Depending on your location, you may have the right to:

  • Access, correct, or request a copy of the personal information we hold about you.
  • Request deletion of your account and associated personal information.
  • Withdraw consent for analytics, marketing emails, or organisation logo/name display at any time — analytics and marketing preferences can be changed from Dashboard → Settings or the unsubscribe link in any marketing email; logo/name permission can be withdrawn by contacting support.
  • Object to or restrict certain processing of your information.

To exercise any of these rights, contact us at support@orgintel360.com.

International Data Transfers

Our infrastructure providers may process and store data in regions outside your home country. Where this happens, we rely on providers that maintain appropriate safeguards for cross-border data transfer.

Children's Privacy

The Service is intended for business use and is not directed at children. We do not knowingly collect personal information from anyone under 16.

Changes to This Policy

We may update this Privacy Policy as our practices evolve. We'll update the effective date above and, for material changes, notify you by email or an in-app notice.
